9Brainz ("we," "us," "our") operates Engagely (the "Service"), a platform that helps businesses automate responses to Instagram comments and direct messages. This policy explains what data we collect, why, and how you can control it.
1. Who this applies to
This policy covers two groups:
- Tenants: businesses who sign up for our Service and connect their Instagram account
- End users: people who comment on or message a Tenant's Instagram account, and who may receive an automated reply as a result
2. Information we collect
From Tenants (via Facebook Login)
- Instagram Business Account ID and username
- Facebook Page ID associated with the connected Instagram account
- Access tokens required to send messages and read comments on your behalf (stored encrypted)
- Account email (if provided during signup)
From End Users
People who interact with a Tenant's Instagram account
- Instagram-scoped user ID and username of the commenter/message sender
- The text content of comments and messages sent to a Tenant's account, solely for the purpose of matching against that Tenant's configured automation rules
- Whether the person follows the Tenant's Instagram account, where a Tenant has configured a rule that depends on this
3. How we use this information
- To authenticate Tenants and maintain their session
- To receive and process Instagram webhook events (comments, messages)
- To match incoming comments/messages against a Tenant's configured rules
- To send automated replies on a Tenant's behalf via the Instagram API
- To display activity logs to Tenants within their own dashboard
- To maintain security, prevent abuse, and comply with legal obligations
We do not sell End User or Tenant data to third parties. We do not use Meta data for advertising purposes.
4. Data retention
- Access tokens are retained only while a Tenant's Instagram account remains connected, and are deleted immediately upon disconnection
- Activity logs (comment/message metadata, automation outcomes) are retained for 30 days to allow Tenants to review their automation history, after which they are automatically deleted
- If a Tenant closes their account, all associated data is deleted within 30 days
5. Data deletion
Tenants can disconnect their Instagram account and delete their data at any time from within the dashboard, or by contacting us at ravi@9brainz.com.
If you interact with a Tenant's Instagram account and wish to have your data deleted from our systems, you may:
- Revoke Engagely's access via your own Instagram/Facebook app settings, which automatically triggers a deletion request to us, or
- Contact us directly at ravi@9brainz.com
Upon a deletion request, we delete all associated data within 30 days and provide a confirmation code.
7. Security
Access tokens are encrypted at rest (AES-256-GCM). All data in transit is encrypted via HTTPS/TLS. Access to production data is restricted to authorized personnel only.
